This Privacy Policy explains how DetailersAI handles personal information in connection with the detailer booking service. We take privacy seriously, particularly because our service handles text-message conversations on behalf of the businesses that use it.

2. Who this policy covers
Our service involves two groups of people, and this policy applies to both:
- Clients — the detailing businesses that subscribe to DetailersAI to handle their bookings.
- End customers — the members of the public who message a Client's business and interact with the AI assistant to ask questions or book a service.
For end customers, the Client (the detailing business) is the primary party deciding how their customer information is used. DetailersAI processes that information on the Client's behalf to deliver the booking service.
3. Information we collect
From Clients
- Name, business name, email address, and phone number.
- Business details you provide so the assistant can do its job — your services, pricing, hours, and booking preferences.
- Billing information, processed securely through our payment provider.
From end customers
- Phone number and name.
- The content of messages exchanged with the AI assistant.
- Booking details such as the service requested, vehicle, and appointment time.
Automatically
- Basic technical and usage data when you visit our website (such as pages viewed and general device information), and cookies used to operate the site.
4. How we use information
- To operate the booking assistant — answering messages, quoting services, scheduling appointments, and sending reminders and follow-ups.
- To set up, maintain, and improve the service for each Client.
- To process subscription billing.
- To provide support and communicate with Clients about their account.
We do not sell personal information, and we do not use end-customer phone numbers for our own marketing.
5. Text messaging (SMS)
The DetailersAI service communicates with end customers primarily by text message on behalf of our Clients. This section explains how that works.
- Consent. End customers receive messages because they have contacted a Client's business or otherwise consented to be contacted by that business. Clients are responsible for ensuring they have the consent required by law to message their customers.
- Opting out. Recipients can stop messages at any time by replying STOP, and can reply HELP for assistance.
- Frequency and rates. Message frequency varies based on the conversation. Standard message and data rates may apply.
- No resale. We do not sell mobile phone numbers, and we do not share end customers' SMS consent or phone numbers with third parties for their own marketing purposes.
6. Service providers we share information with
We use trusted third-party providers to deliver the service. They only receive the information needed to perform their function, and are bound to protect it:
- GoHighLevel — messaging, CRM, and automation that power the assistant.
- Stripe — subscription billing and payment processing.
- Calendar / scheduling provider — to place bookings on the Client's calendar ([name your calendar tool, e.g. Google Calendar]).
- AI provider(s) — to generate the assistant's responses ([name your AI provider(s)]).
- Netlify — website hosting.
Some of these providers may store or process data outside of Canada (for example, in the United States). Where that happens, the information may be subject to the laws of those countries.
7. When we may disclose information
We may disclose information if required by law, to comply with a legal process, to protect our rights or the safety of others, or in connection with a business transfer. Otherwise, we share information only as described in this policy.
8. How long we keep information
We keep personal information for as long as needed to provide the service and for a reasonable period afterward, or as required by law. Clients may request deletion of their data, subject to legal and operational limits.
9. Security
We take reasonable measures to protect personal information against loss, theft, and unauthorized access. No system is perfectly secure, but we work to safeguard the information entrusted to us and rely on reputable providers who do the same.
10. Your privacy rights
Under Canadian privacy law (including PIPEDA), you have the right to access the personal information we hold about you, to ask us to correct it, and to withdraw consent to certain uses.
